Job Title: Executive Assistant
Report Line: VP of Marketing & Ecommerce and VP of Business Development
Location: Tokyo
Primary Purpose: The Executive Assistant will support VP of Marketing & Ecommerce (Coach Japan) and VP of Business Development (Tapestry Japan). This is a great opportunity for a growth-minded executive assistant to be a part of a fast-paced global house of brands.

• Provide administrative support, including calendar, travel arrangements, and expenses.
• Manage logistics for meetings including organizing agendas, booking meetings, calendar invites, preparing written materials, managing catering, room setup/cleanup, etc.
• Manage calendar to include all key meetings and cross functional partners.
• Develop relationships with internal administrative staff to facilitate meeting planning and scheduling.
• Work effectively with EAs of key business partners (Executives of DPS, Developers, etc) to set up business meetings and meals.
• Ensure deadlines are met, questions are answered, and requests are addressed proactively and promptly.
• Prepare Travel & Expense reports, reconcile corporate card expenses and uphold company T&E policies.
• Assist with the planning and execution of department events i.e. teambuilding, lunches, volunteering, etc.
• Provide on-the-ground support when visitors and guests come including global visitors.
• Occasionally support leaders and teams in PO handling.
• To support the VPs to create presentation materials (power points, editing videos) for internal/external brand events as required.
• To provide support for PR activities, press and brand events (ex, brand exhibition with business clients) as required.
The accomplished individual will possess...
• Highly confidential person is required due to sensitive nature of the work and the functions of the leaders.
• 3-5 years of Executive Assistant or similar experience preferred.
• Bachelor’s Degree preferred.
• Experience interacting with executives at all levels.
• Superior judgment, professionalism, poise, ability to maintain the highest level of confidentiality, and assertiveness.
• Excellent ability to maintain composure and effectiveness in a fast paced environment.
• Must be a highly organized, self-starter with ability to handle multiple priorities at once.
• Must have strong verbal and written communication skills both in Japanese and in English.
• Must be a collaborative, team player with great initiative.
• Superior follow through skills, detail and customer service oriented.
• Must be intuitive, able to anticipate needs and develop options.
• Demonstrated proficiency in Microsoft Outlook, Teams, and Zoom if possible.
• Proficiency in PowerPoint, excel and experience in video editing
• Interest in trends, and fashion/retail industry
