Primary Purpose:

 

Assisting in providing the HR expertise to Supply Chain business to ensure the development and effective implementation of HR programs and initiatives to support business & internal customer needs. To provide well rounded HR operations activities crossing SEA and encompassing compensation & benefits, performance management, employee relations and any other HR related projects in achieving the success of the business.

HR Operations & Employee lifecycle management

Employment documentation & transactions

  • Prepare and issue employment letters and documents: offer letters, labor contracts, annexes, agreements, and termination letters.
  • Maintain and track employee contract/agreements status and ensure timely renewals.
  • Remind Line managers of upcoming contract expirations and follow up on required actions.
  • Manage employee data updates and ensure timely, accurate maintenance of Master Records.

 

Onboarding, Mobility & Offboarding

  • Coordinate and execute key stages of the employee lifecycle from onboarding to separation.
  • Ensure a smooth, highquality employee experience by standardizing touchpoints and communication.

 

 

Payroll & C&B Operations

  • Prepare monthly payroll data (timesheet consolidation, payroll inputs, PIT, etc.).
  • Register PIT codes and dependents information for employees.
  • Reconcile bank account details and ensure payrollrelated information is accurate.
  • Address employees’ inquiries related to payroll, insurance, and employment matters.
  • Support Compensation & Benefits (C&B) adhoc tasks assigned by People Operations.

 

Insurance Management

  • Serve as the primary contact point with Social Insurance authorities.
  • Manage all Social Insurance system declarations and ensure required documentation is completed and filed.
  • Provide information on the company’s Premium Health Insurance package and support employees with claims and reimbursement processes.

 

Employment Regulation & Compliance

  • Monitor compliance with SEA labor laws, regulations, and internal HR policies.
  • Track legislative changes and support implementation of legal or policy updates.
  • Manage government reporting requirements (DOLISA, Trade Union, regulatory submissions).
  • Maintain accurate employee data and conduct regular audits to ensure data integrity.
  • Ensure HR processes and systems comply with SEA’s data privacy regulations.
  • Support internal and external HR audits.

 

Operational Excellence

  • Support alignment of HR operations with regional standards and best practices.
  • Act as the first escalation point for resolving operational challenges and ensuring daytoday service delivery.
  • Recommend and support continuous improvement initiatives to enhance efficiency, consistency, and employee experience.
  • Maintain updated documentation for HR policies, procedures, workflows, and local SOPs.
  • Serve as a local system owner or key user for selected HR platforms (e.g., Workday), ensuring data quality and supporting digitalization initiatives.
  • Track service provider performance (as applicable) and recommend improvements.

 

Project Support

  • Participate in Vietnam and regional HR projects, system implementations, and process harmonization initiatives.
  • Develop, maintain, and standardize Local SOPs and operational guidelines to ensure clarity and consistency.

 

Engagement & Internal Communications

  • Support internal communication initiatives and employee engagement activities organized by the HR/People team.
  • Assist in coordination of company events and HRled engagement activities when needed.
